What is held
- Your name, your official role and your work email address.
- A record of every change you make to the register — which action,
which field, the previous value, the new value, and when.
- The fact and date of your acceptance of this notice.
No home address, no identity number, no financial or health information
is held. Keeping it to this is itself the first control.
Why
To run the Committee's action register: to record what was agreed, who
is answerable for it, and whether it was done. The lawful basis is the
legitimate interest of the company in governing its own affairs and in
keeping an accurate corporate record.
Who can see it
Every member of the Executive Committee can see every other member's
actions and audit entries. This is a shared governance record, not a
private workspace. You should know that before you accept rather than
discover it afterwards.
How long
Your contact details are held while you are a member. The audit trail is
retained as a corporate governance record and is not deleted — it is what
makes the register trustworthy. Notifications are archived after twelve
months.
Your rights
- You may ask to see the personal data held about you.
- You may have inaccurate details corrected.
- You may ask for your account to be closed, which ends your access.
The record of decisions taken and actions changed remains, as a
company record.
Raise any of these with the Managing Director.
Where it is held
The register is hosted with a third-party database provider outside
Botswana, protected by named-account sign-in and by access rules enforced
in the database itself. A data breach is notifiable to the Information
and Data Protection Commission.
